Using Exchange with Outlook:

Those of you that use Outlook to access your mail will find your previous email messages and Outlook items saved in "Personal Folders". Keep in mind that the items in "Mailbox - Your Name" are on the Exchange server, accessible to you anywhere through the network. On the other hand, items in "Personal Folders" are stored on your desktop system, so they're on available when you're at your desk.

Contacts: You'll probably want to copy your old contacts into Exchange, so that they'll be accessible by default whenever you access Exchange. Here's how:

  1. Open Contacts in Outlook by clicking on the Contacts button in the lower left. In the contacts folder listing on the left, select Contacts in Personal Folders
  2. Select the contacts you wish to copy (or highlight one and then press ctrl-A to select all of them)
  3. In the menu bar at the top, click on Edit, then select Copy to Folder...
  4. You'll be presented with a list of possible folders to copy the items to. Scroll to the folder structure for Mailbox - your name, and select the Contacts item
  5. Click OK

Custom Rules: If you previously had custom rules set up to deal with certain email messages in a particular way, it’s quite easy to import them to use in your new Exchange mailbox as well:

  1. In the folder list on the left of your Outlook window, select the old mailbox that has the custom rules you want to use (e.g. Inbox in "Personal Folders").
  2. In the top menu bar, click Tools and select Rules and Alerts...
  3. Click Options
  4. Click Export Rules... and save the resulting file to your desktop
  5. Click OK, then click OK again.
  6. Now, in the folder list on the left of your Outlook window, select Mailbox - your name
  7. In the top menu bar, click Tools and select Rules and Alerts...
  8. Click Options
  9. Click Import Rules... and choose the file that you just saved to your desktop.
  10. Click OK, then click OK again.

Messages and Folders: There are probably some existing mail messages or folders in "Personal Folders" that you work with fairly regularly. You may want to copy these into your Exchange mailbox so that they're available to you from anywhere. Think of Exchange as your current, active mailbox, and "Personal Folders" (stored on your desktop) as a space for older and less-active messages.
 
Off-campus Access: When you're off-campus, the easiest way to get at your email is through SMUport: just login to SMUport and click on the SMUMail link in the upper right. Or, if you're using your SMU laptop, you may prefer to use the Outlook client that's installed on it instead. Depending on your current Outlook settings, you may need to enable the "Outlook Anywhere" feature to access your Exchange mailbox through the Internet. Here's how:

  1. In the top menu bar in Outlook, click Tools  and select Account Settings...
  2. Double click on the "Microsoft Exchange" account
  3. Click the More Settings... button in the bottom right
  4. Select the Connection tab at the top of the pop-up window
  5. At the bottom, under the words "Outlook Anywhere", make sure there's a checkmark in the box next to "Connect to Microsoft Exchange using HTTP" , and then click the Exchange Proxy Settings... button.
  6. Set the Exchange Proxy Settings as in the screenshot below, specifically:

                Check the box next to “Connect using SSL only”
                Check the box next to “Only connect to proxy server…”
                Just below that, enter msstd:owa.smu.ca
                Check box next to “On slow networks…”
                Set proxy authentication settings to NTLM Authenication
                Click OK to save your settings.



  7. Close the various pop-up windows by clicking OK, Next, Finish and Close as appropriate.

Using Exchange with Macs, Linux and other systems:

SMU's Exchange environment supports standard mail access methods (IMAP, HTTPS and ActiveSync) so that it will work with many different email clients.You can work with your email directly through SMUport's web-based Outlook client, or, if you prefer a direct mail client, you can access it through IMAP using the following settings:

 

IMAP settings:
Incoming (IMAP) server
outlook.smu.ca
Outgoing (SMTP) server
smtp.smu.ca (or your Internet provider's SMTP server, if you're off campus)
Username/password
your SMU s-number (e.g. s0123456) and password
Use SSL

Using Exchange with your SMU Blackberry:

As part of the email migration process, ITSS will have set up a forward for your Blackberry service. Alternatively, we can help you configure your Blackberry service to access Exchange directly if you prefer.

Your existing calendar syncing will remain unchanged until the campus calendar is moved to Exchange. At that time, ITSS will establish a local Blackberry Enterprise Server, giving SMU users more control in syncing their Blackberries for both email and calendar.

Accessing Exchange through a mobile device:

If your mobile device supports ActiveSync (and many do), you will be able to use it with Exchange. For instance, an iPhone or iPad can be set up by going into Settings > Mail, Contacts & Calendars > Add Account... and selecting Exchange as the account type, then entering the details listed below. If your mobile device doesn't support ActiveSync, it might support IMAP access instead. In addition, mobile devices that support web access can access the Outlook Web Application at https://owa.smu.ca

You can check your mobile device's documentation for details of how to configure ActiveSync or IMAP connections on it. Information you may need to specify is:
