University Phone Directory

All faculty and staff have access to "My Phonebook," a service that allows you to edit your contact information in the Saint Mary's Online Directory as necessary.

Each department has a designate assigned to managing departmental information in the directory. All designates are assigned by department heads and access to the system is provided to them by ITSS. If a new departmental designate is required, or if you have any questions or concerns, please contact the ITSS Project Assistant at 5480 or email smuphone@smu.ca.

Instructions for Directory Designates

 

Accessing Designate Options

  1. Go to http://smuphone.smu.ca
  2. Select My Phonebook
  3. Enter your s# and password
  4. Select Edit My Department and a list of all persons in your department will be displayed

Add New Person

  • Click Add new Person to My Department
  • A new card will open. Enter as much information as possible
  • Select Save and close the window
  • Click "Edit My Department" in order for the new entry to refresh

Assign New Position to an Existing Person

  • Click on Assign New Position to an employee
  • A search window will open. Type the last/first name of the employee
  • Select the name of the person you are adding to your department
  • Add the new position information (title, location, etc.)
  • Click Save
  • Click Edit My Department
  • To verify the information, click on the employee name

Edit an Existing Employee

  • Click Edit My Department
  • Select the name of the person you wish to update
  • Update the information as needed
  • Select Save and close the window
  • Click Edit My Department
  • To verify the information, click on the employee name

Add New Position to an Existing Employee

  • Click Edit My Department
  • Click on the name of the person you wish to edit
  • Click Add New Position
  • Update the information as needed
  • Select Confirm and close the window
  • To verify the information, click on the employee name

Delete Selected Position

  • Click Edit My Department
  • Click on the name of the employee
  • Click Delete Selected Position
  • If you're certain that you want to delete the position, select Confirm
  • To verify, click "Edit My Department"

Delete an Existing Employee

  • Click Edit My Department
  • Click on the name of the person you wish to delete
  • Click Delete Employee (this will completely remove all information about this person from SMUPhone)
  • Select Confirm and close the window
  • To verify, click "Edit My Department" (employee name will not appear in list)
  • Select Save and close window
