Service Excellence: Dean of Science Office

The Dean's office helps students find answers to any questions related to their specific program, research interests, or science degree. A variety of science advising services are offered.

This is how the Dean of Science office measures Service Excellence:

Reliability

  1. Response Time:  Will always respond to e-mail messages within 24 hours; availability of resources (i.e. website); develop texting capability for contact with students.
  2. Frontline Greeting:  Closed only one hour/per week for staff meeting – open over lunch period. 
  3. All students complete intake form to determine assistance needs. 
  4. Knowledgeable Staff and Soft Handoff:  All staff members can answer questions or direct students to someone in the Dean of Science Office or Saint Mary’s University campus who can. 
  5. Quick Response to Faculty and Staff Requests:  Response within 24 hours; quick turnaround of paperwork; tracking of documents.

Assurance

  1. Knowledgeable staff who are competent and confident (i.e. the Administrative Assistant to the Dean of Science requires knowledge of the applicable campus Collective Agreements, financial matters, etc.).
  2. Assurance of confidentiality for students, faculty, and staff.
  3. Forthright advice on academic and other issues.

Empathy

  1. Responding to emails after hours (i.e. the Dean of Science and Associate Dean of Science – Student Affairs and Outreach respond to requests, etc. after hours and on weekends). 
  2. Having flexible hours at certain times of year (i.e. September, January, etc.) for student registration or other academic needs.   
  3. Recognizing that solutions do not fit all students; need to be adaptive at times.
  4. Providing student support and training for departmental/program advisors.

Responsiveness

  1. Response Time:  Will always respond to e-mail messages within 24 hours (i.e. the Dean of Science and Associate Dean of Science – Student Affairs and Outreach respond to requests, etc. after hours and on weekends).  Timelines for response are also provided.    
  2. Voicemail messages responded to similarly.
  3. Quick Response to Faculty and Staff Requests:  Response within 24 hours; quick turnaround of paperwork; tracking of documents.
  4. Knowledgeable Staff and Soft Handoff:  All staff members can answer questions or direct students to someone in the Dean of Science Office or Saint Mary’s University campus who can. 
  5. When people are away, they are covered seamlessly (i.e. through the use of generic email addresses, etc.)
